Hotel Won't Ship Your Lost Item in Japan? Your Options

Updated September 26, 2026 · 5 min read

Short answer: the hotel has your item, but it says it can't ship it abroad or won't give it to anyone but you. The usual way out is to have it sent to an address inside Japan, which hotels handle far more easily, or to authorize someone in Japan to collect it.

If you haven't yet confirmed the hotel has your item, start with our hotel lost-property guide. This page is for the next stage: the hotel has it, but getting it to you is the problem.

Why hotels say no

Option 1: Ask the hotel to ship it inside Japan

Hotels are much more willing to send an item by domestic courier. Give them an address in Japan, such as:

From there you carry it, or forward it abroad yourself with a carrier such as Japan Post, DHL or FedEx. Note that cash on delivery (chakubarai) works only inside Japan. If the hotel wants you to pay, agree on the amount and method first, such as a card payment link or bank transfer.

A message you can send in Japanese

English emails sometimes get stuck. A short Japanese message, pasted into an email or booking-platform chat, can move things along. Fill in the brackets and keep the English underneath so you both know what it says.

I stayed in room [number] from [check-in date] to [check-out date] under the name [name]. I left [item] in the room. Could you please ship it? I will pay the shipping fee in advance. The address in Japan is: [address, recipient, phone].

Option 2: Authorize someone in Japan to collect it

If the hotel will hand the item to a representative, you usually need to contact the hotel yourself first and name the person. A short written authorization by email is the normal way, and our hotel guide has a template. Wait for the hotel to confirm before anyone goes.

Option 3: Ask the hotel to hold it until you return

If you'll be back in Japan soon, ask how long they can keep it. There's no standard period, so get an answer in writing and set a reminder.

Option 4: Escalate politely

Before you ship anything internationally

Frequently asked questions

Why won't some Japanese hotels ship lost items abroad?

Overseas shipping means customs forms, international rates and payment collection, which many hotels aren't set up to handle. Some also worry about liability for loss or damage. Domestic shipping inside Japan is much easier for them, which is why forwarding through a Japanese address often works when direct overseas shipping doesn't.

What does 'cash on delivery' mean for a lost item?

In Japan, hotels often send items by courier with the fee paid by the recipient on arrival (called chakubarai). This works only inside Japan. It doesn't work for overseas addresses, so you will need to pay the hotel in advance by another method, or use a Japanese address.

Can I ship a phone, power bank or laptop internationally?

Items with lithium batteries are restricted by many carriers and services, and some accept them only in specific ways. Check the carrier's rules before you agree to send anything with a battery.

How long will the hotel hold my item while I sort this out?

There is no standard period. Some hotels hold items for a few weeks, others less. Tell the hotel you intend to claim the item and ask how long they can keep it.
